How Do You Convert Excel to PDF?
To convert Excel to PDF, add your .xlsx, .xls or .csv file, pick a page size and orientation, click Convert to PDF and download the file. Every visible sheet in the workbook is added to one PDF and scaled to fit the page width. Teasoft's Excel to PDF converter runs entirely in your browser, so your spreadsheets are never uploaded to a server.
Spreadsheets are built for working with numbers, not for sharing them. Columns get cut off when you print, formulas can be changed by accident, and many people don't have Excel installed to open an .xlsx file at all. Saving your spreadsheet as a PDF gives everyone the same fixed, read-only view of your data. This free XLS to PDF converter does that without Microsoft Excel or any other software, turning invoices, price lists, reports, budgets, timesheets and data exports into PDFs you can share, print, email or upload anywhere.
Everything happens on your own device. Your browser opens the spreadsheet with SheetJS, lays out each visible sheet as a table, captures it page by page with html2canvas and saves the result as a standard PDF file with pdf-lib. Each sheet starts on a new page. Nothing is sent to Teasoft or anyone else, so you can safely convert salary sheets, client lists, invoices and financial reports.
What ends up in your PDF:
| Part of your spreadsheet | In your PDF | Good to know |
|---|---|---|
| Cell values and text | Kept, as shown in the sheet | Numbers, dates, currencies and percentages keep their number formatting. |
| Formulas | Results are kept | The PDF shows the calculated values, not the formulas. Save the file in Excel first so the latest results are stored. |
| Merged cells | Kept | Merged headers and labels span the same rows and columns. |
| Multiple sheets | Kept, in tab order | Choose all visible sheets or the first sheet only. Hidden and empty sheets are skipped. |
| Wide and long sheets | Fitted to the page | Wide sheets shrink to fit the page width; long sheets continue onto new pages. |
| Cell colours, fonts and borders | Not kept | Data is shown in a clean, standard table style. Turn on gridlines to add cell borders. |
| Charts, images and comments | Not included | Only cell data is converted. Paste key charts into a separate document if you need them. |
| Text in the PDF | Saved as an image | Text can’t be selected, searched or copied, which also makes the figures harder to change. |
Common reasons to convert Excel to PDF:
- Sending invoices, quotes and price lists to clients in a format they can't accidentally change.
- Sharing monthly reports, budgets and sales figures with managers who don't use Excel.
- Submitting marks sheets, attendance records and project data to schools, colleges and universities.
- Printing timesheets, schedules and stock lists with every column on the page.
- Attaching expense reports, tax workings and statement exports to emails and online forms.
- Archiving financial records and data exports in a format that will still open years from now.
What each control does:
| Control | What it does | When to use it |
|---|---|---|
| Add / drop area | Adds spreadsheets to the list | Drag files in, click Add or browse. XLSX, XLS, XLSM, CSV, TSV and ODS are accepted. |
| Page size | Sets A4, US Letter or one long page per sheet | A4 for most countries, US Letter for the US and Canada, one long page for on-screen reading with no page breaks. |
| Orientation | Sets auto, portrait or landscape | Leave on Auto to switch to landscape when a sheet is too wide for portrait. |
| Margins | Sets no margin, a small margin or a big margin | Use a small or big margin if you plan to print or bind the PDF. |
| Sheets | Converts all visible sheets or the first sheet only | Pick first sheet only when the other tabs hold workings or lookup data. |
| Show gridlines | Draws a border around every cell | Turn on for number-heavy tables that are easier to read with lines. |
| Sheet name as heading | Prints each tab name above its data | Useful when one PDF holds several sheets. |
| Clear | Removes every file from the list | Start again with a new batch. |
| Convert to PDF | Converts every file in the list | Click once after adding files and choosing your settings. |
| Results | Shows each converted file and its PDF size | Check that every file converted before you download. |
| Download | Saves your PDFs | Save each PDF on its own, or all of them as one ZIP. |
Good to know
- Six file types are supported. XLSX, XLS, XLSM, CSV, TSV and ODS. Macros in .xlsm files are never run.
- Text in the PDF isn't selectable. Each page is saved as an image, so text can't be searched or copied. Share the original spreadsheet too if people need the raw data.
- Cell formatting is simplified. Colours, fonts, borders, charts and images are not carried over; your data appears in a clean table.
- Limits per file. Up to 100 MB, 400,000 cells per sheet and 500 PDF pages per workbook.
- Need a smaller file? When your PDF is ready, shrink it with Compress PDF.

How Will My Spreadsheet Look as a PDF?
| What you have | What to do | What you get |
|---|---|---|
| A narrow sheet with a few columns | Keep A4 or Letter with Auto orientation | Portrait pages with your table at full width |
| A wide sheet with many columns | Leave orientation on Auto, or pick Landscape | Landscape pages with the table shrunk to fit the width |
| A long list with thousands of rows | Pick A4 or Letter, or one long page per sheet | Rows continue across as many pages as needed, or one tall page per sheet |
| A workbook with several tabs | Pick All visible sheets and turn on Sheet name as heading | One PDF with each sheet on its own pages, labelled by its tab name |
| A CSV or TSV data export | Add it as it is, no need to open it in Excel first | A clean, readable table of your rows and columns |
| A Google Sheets file | Use File > Download > Microsoft Excel (.xlsx) first | A PDF of every visible sheet in your Google spreadsheet |
Getting better results when you convert
- Save your workbook first. Open it in Excel and save it so the latest formula results are stored in the file.
- Delete what you don't need. Remove hidden or unused columns, blank rows and scratch sheets so the PDF shows only the data that matters.
- Keep columns narrow. The fewer and narrower your columns, the larger the text will be once the sheet is fitted to the page.
- Split huge sheets. If a sheet has more than 400,000 cells or runs past 500 pages, split it into smaller sheets or files.
- Remove the password first. Password-protected workbooks can't be opened. Remove the password in Excel, save, and try again.
After you convert your Excel file
- Combine files. Use Merge PDF to join several reports or invoices into one PDF.
- Make it smaller. Use Compress PDF before you email or upload it.
- Sign it. Use Sign PDF to add your signature to an invoice, quote or agreement.
- Protect it. Use Protect PDF to add a password before you share financial data.
